This Privacy Policy explains what information Love Well Spent may collect, why we collect it, how we use and protect it, when it may be shared, and the choices available to you.

The short version

We collect information to do the work.

Love Well Spent collects information when people apply for programs, request services, make donations, offer devices, volunteer, contact us, subscribe to communications, participate in events, or otherwise interact with our website and programs.

We use that information to provide services, administer programs, communicate with you, process donations, understand our impact, maintain our operations, improve our website, and meet legal, financial, safety, and reporting responsibilities.

We do not use family stories, photographs, identifying details, or sensitive circumstances publicly simply because someone applied for help. Public storytelling requires appropriate permission.

Information is part of the relationship.

Families often tell us things they would not share publicly: financial hardship, disability-related needs, illness, housing circumstances, technology barriers, and information about their children. We treat that responsibility seriously and limit access to information based on legitimate program and organizational needs.

Collect what we need. Use it for a reason.

Our goal is not to collect information simply because we can. We collect information that helps us operate programs, communicate, fulfill requests, measure impact, and meet our responsibilities.

Scope of This Policy

This Privacy Policy applies to information collected by Love Well Spent, Inc. through lovewellspent.org and through Love Well Spent programs, applications, forms, donations, communications, events, volunteer activities, and other services unless a separate or supplemental privacy notice applies.

Some Love Well Spent programs may have additional privacy terms because of the type of service being provided. ConnectWell, for example, has a separate privacy notice addressing information associated with internet service.

Information We May Collect

The information we collect depends on how you interact with Love Well Spent.

Contact information

  • name;
  • email address;
  • telephone number;
  • mailing or shipping address;
  • city, state, and ZIP code; and
  • organization or employer information when relevant.

Program and family information

When someone applies for a Love Well Spent program, we may collect information necessary to understand eligibility, circumstances, need, and possible fulfillment options.

This may include:

  • household information;
  • number and ages of learners;
  • homeschool or educational information;
  • technology and internet-access needs;
  • current device availability;
  • financial-hardship information;
  • disability, accessibility, medical, housing, safety, or other circumstances voluntarily provided to help us understand a family's needs;
  • program eligibility information;
  • communications related to an application; and
  • fulfillment, delivery, or service information.

Donation information

  • donor name and contact information;
  • donation amount and date;
  • campaign or designation;
  • recurring-gift information;
  • employer or matching-gift information;
  • device or property donation information; and
  • information needed for receipts and donor records.

Volunteer, partner, and event information

  • areas of interest;
  • skills and experience;
  • availability;
  • organizational affiliation;
  • training or participation records;
  • screening information when required for a particular role;
  • event registrations; and
  • communications with Love Well Spent.

Website and technical information

When you visit our website, certain information may be collected automatically by our website platform, analytics tools, security systems, or similar technologies.

This may include:

  • IP address;
  • browser and device information;
  • operating system;
  • pages viewed;
  • referring pages or websites;
  • approximate location derived from technical information;
  • dates and times of visits;
  • interactions with website features; and
  • cookie or similar technology identifiers.

How We Collect Information

We may receive information directly from you when you:

  • complete an application or form;
  • contact Love Well Spent;
  • make a donation;
  • donate a laptop, tablet, property, or other resource;
  • register for a workshop, event, or program;
  • subscribe to email communications;
  • volunteer or express interest in volunteering;
  • participate in a survey or provide feedback;
  • communicate with us by email, telephone, or online form; or
  • otherwise voluntarily provide information to us.

We may also receive information from service providers, workplace-giving platforms, fulfillment partners, technology partners, referral organizations, or other parties involved in providing a service or completing a transaction.

Technical information may also be collected automatically when you use our website.

How We Use Information

Love Well Spent may use information to:

  • review and administer program applications;
  • determine possible eligibility or fulfillment pathways;
  • provide technology, internet access, or other services;
  • communicate with applicants and participants;
  • coordinate with program or fulfillment partners;
  • process and acknowledge donations;
  • issue donation receipts and maintain financial records;
  • administer recurring donations or workplace giving;
  • coordinate device and property donations;
  • manage volunteers, partners, workshops, and events;
  • provide support and respond to questions;
  • send requested or relevant organizational communications;
  • maintain the security and functionality of our website;
  • understand website use and improve our communications;
  • measure program reach and organizational impact;
  • create aggregated or de-identified information for reporting, planning, fundraising, and evaluation;
  • prevent misuse, fraud, or security incidents;
  • comply with legal and regulatory responsibilities; and
  • protect the rights, safety, and property of people and LWS.

Program Applications

Love Well Spent applications may ask for information needed to understand a household's circumstances and determine whether we or one of our partners may be able to provide assistance.

For the Digital Access Grant, this may include information about learners in the household, existing technology, financial circumstances, accessibility needs, medical or family hardship, and other barriers to digital access.

Providing sensitive details is not permission to publish them.

Information shared in an application is used for legitimate program and organizational purposes. Love Well Spent will not publicly identify a family or child in a story, testimonial, photograph, video, or similar communication merely because that information was provided in an application.

Where a potential fulfillment pathway involves another organization, LWS may share information reasonably necessary to evaluate or complete that pathway, subject to appropriate program practices, consent where required, and applicable law.

Children & Family Information

Love Well Spent serves families with children, but our general website forms and program applications are intended to be completed by parents, legal guardians, educators, or other authorized adults when information about a minor is required.

We do not knowingly encourage children under 13 to submit personal information directly to Love Well Spent through general website forms.

Information about a child may be provided by a parent, guardian, or authorized adult when reasonably necessary for a program, service, accessibility request, educational activity, safeguarding matter, or other legitimate purpose.

If a child submitted information directly

If you believe a child under 13 submitted personal information directly to Love Well Spent without appropriate parent or guardian involvement, contact us at privacy@lovewellspent.org so we can review the matter and take appropriate action.

Parents or guardians may contact us regarding personal information about their child, subject to reasonable identity, authority, safety, legal, and recordkeeping requirements.

Donations & Payments

Love Well Spent may use third-party payment processors and workplace-giving platforms to process donations and other transactions.

Depending on how you give, payment or donation processing may be handled by services such as Stripe, Benevity, an employer giving program, or another authorized provider.

These providers may collect payment-card, banking, employer, transaction, tax, or identity information according to their own privacy practices and the services they provide.

Love Well Spent may receive information necessary to record the gift, issue acknowledgments, administer designations or campaigns, process matching gifts, maintain donor records, and meet accounting and legal requirements.

We generally do not need to receive your complete payment-card number when a transaction is processed through an external payment processor.

When Information May Be Shared

Love Well Spent may share information when reasonably necessary for the purposes described in this policy.

Service and technology providers

We may use providers that help us host the website, collect forms, process payments, send communications, store records, manage data, analyze website activity, provide technology services, or support other operations.

Program and fulfillment partners

When another organization may help provide a device, connectivity, service, referral, or other resource, we may share information reasonably necessary to evaluate or carry out that opportunity.

Professional advisers

Information may be shared with accountants, auditors, attorneys, insurers, consultants, or other advisers when reasonably necessary for their work with Love Well Spent.

Legal, safety, and compliance purposes

We may disclose information when we reasonably believe disclosure is required or appropriate to comply with law, respond to lawful process, report or respond to safeguarding concerns, protect a person from harm, investigate misuse or fraud, or protect the rights and property of Love Well Spent or others.

With your direction or permission

We may share information when you request, authorize, or consent to the disclosure.

We do not sell donor or applicant lists.

Love Well Spent does not sell lists of program applicants, participating families, or donors for another organization's independent fundraising or marketing use.

Third-Party Service Providers

Love Well Spent relies on outside services to operate parts of our website, programs, communications, donations, and administrative systems.

Depending on the interaction, these may include services such as:

  • Odoo for website and organizational technology;
  • Stripe for payment processing;
  • Benevity and employer platforms for workplace giving;
  • Jotform or similar services for online forms;
  • email and productivity providers;
  • website analytics and advertising services;
  • shipping or fulfillment providers;
  • internet and technology service partners; and
  • other vendors necessary to operate our programs.

These providers may process information on our behalf or receive information directly from you. Their own privacy policies may also apply to their services.

The particular providers we use may change as our programs and technology change.

Cookies, Analytics & Similar Technologies

Love Well Spent's website and the services supporting it may use cookies, pixels, tags, local storage, or similar technologies.

These technologies may help us:

  • keep the website functioning;
  • remember settings or preferences;
  • protect website security;
  • understand how visitors use the site;
  • measure traffic and campaign performance;
  • understand which communications lead people to our site; and
  • improve our website and outreach.

Some analytics or advertising technologies may be provided by third parties and may collect information according to their own privacy practices and your browser, device, consent, or account settings.

Email, Text & Other Communications

If you provide contact information, Love Well Spent may use it to communicate about an application, donation, service, transaction, volunteer activity, event, partnership, support request, or other interaction with us.

If you subscribe to newsletters or other promotional communications, you may unsubscribe using the link included in those communications or by contacting us.

Unsubscribing from promotional messages does not necessarily prevent us from sending transactional, program-related, safety-related, legally required, or other non-promotional communications when appropriate.

Information Security

Love Well Spent uses administrative, organizational, technical, and physical measures intended to protect information appropriate to the nature of the information and our operations.

Access to sensitive program and family information should be limited to individuals with a legitimate need for that access.

However, no website, email system, database, network, transmission method, or storage system can be guaranteed to be completely secure. We therefore cannot promise absolute security.

If we become aware of a security incident involving personal information, we will evaluate and respond to it in accordance with applicable requirements and the circumstances of the incident.

How Long We Keep Information

Love Well Spent retains information for as long as reasonably necessary for the purposes for which it was collected and for legitimate organizational, financial, legal, safety, reporting, audit, program, and recordkeeping needs.

Different types of information may be retained for different periods.

For example, financial and donation records may need to be kept longer than an ordinary website inquiry. Program application information may be retained while an applicant remains in an active program pool and for an appropriate period afterward for program administration, reporting, evaluation, fraud prevention, or recordkeeping.

When information is no longer reasonably needed, we may delete it, securely dispose of it, or convert it into aggregated or de-identified information where appropriate.

Your Choices & Privacy Rights

You may contact Love Well Spent to request that we:

  • update or correct certain personal information;
  • help you understand information we maintain about you;
  • unsubscribe you from promotional email communications;
  • review a request to delete certain information where deletion is appropriate and legally permissible; or
  • address other privacy rights that apply to you under applicable law.

We may need to verify your identity or authority before completing certain requests.

Some information cannot be deleted immediately or at all when we have a legitimate or legally required reason to retain it, such as financial records, donation records, safeguarding records, fraud-prevention information, contractual records, or information needed to establish, exercise, or defend legal rights.

Privacy rights vary by location. Where applicable law gives you additional rights, Love Well Spent will respond to qualifying requests as required by that law.

Third-Party Websites & Services

Our website may link to websites or services operated by other organizations.

Love Well Spent is not responsible for the privacy practices of third-party websites or services that we do not control. We encourage you to review their privacy information when providing information directly to them.

Changes to This Privacy Policy

Love Well Spent may update this Privacy Policy as our programs, technology, service providers, partnerships, operations, or legal requirements change.

When we update the policy, we will revise the effective or last-updated date displayed on this page.

If a change materially affects how we handle information, we may provide additional notice when appropriate.
